Form 16 Decoded: Your Employer's Certificate Explained Line by Line
Your employer gives you this every year. Here's what every number actually means.
What Is Form 16?
Form 16 is a TDS certificate issued by your employer every year. It's proof that your employer deducted tax from your salary and deposited it with the Income Tax Department on your behalf.
Think of it as a receipt โ your employer withheld tax, here's the paperwork proving it.
You should receive it by June 15 of each year (for the previous financial year). If you haven't received yours, ask your HR/payroll team.
The Two Parts of Form 16
Part A โ The TDS Summary
Part A is auto-generated by TRACES (the government's TDS portal). It contains:
- Employer name, address, and TAN
- Your name, address, and PAN
- Period of employment (if you joined or left mid-year)
- Quarter-wise TDS deducted and deposited โ this is the critical section
What to verify: The TAN on Part A must match your employer's. If any TDS shown in Part A doesn't appear in your Form 26AS, there's a mismatch โ your employer may not have deposited the tax they deducted.
Part B โ The Salary Breakdown
Part B is prepared by your employer (not auto-generated). It shows:
- Gross salary details
- Exempt allowances (HRA, LTA, etc.)
- Deductions under Chapter VI-A (80C, 80D, HRA, NPS, etc.)
- Net taxable income
- Tax computed, rebate applied, cess added
- Final tax payable / refund
This is the sheet your CA needs most. It tells the complete story of your tax year.
Reading Part B: The Key Numbers
1. Gross Salary (Section 17(1))
Your total salary before any exemptions or deductions. This includes:
- Basic salary
- HRA (before exemption)
- Special allowance
- Bonus
- Any other allowance or perquisite
2. Exempt Allowances
Amounts deducted from gross salary because they're tax-exempt:
- HRA exemption โ the lower of: actual HRA, 50%/40% of basic, or rent paid minus 10% of basic
- LTA exemption โ travel allowance for domestic journeys
- Standard deduction โ flat โน75,000 (FY 2025-26, New Regime); โน50,000 (Old Regime)
3. Net Salary (Taxable)
Gross minus all exemptions. This is your starting point for deductions.
4. Chapter VI-A Deductions
Investments and payments that reduce your taxable income:
- 80C (up to โน1.5L): PPF, ELSS, LIC, home loan principal, school fees, EPF contribution
- 80D: Health insurance premiums (โน25K for self, โน50K for parents above 60)
- 80CCD(1B): Additional NPS contribution (โน50K)
- 80TTA/80TTB: Savings account interest
5. Total Taxable Income
Net salary minus all deductions. Tax is computed on this number.
6. Tax on Total Income
Computed using current year slabs. Includes:
- Income tax
- Surcharge (if income > โน50L)
- Health and Education Cess (4%)
- Minus: Section 87A rebate (if applicable)
7. Tax Deducted at Source
What your employer actually deducted through the year. If this is more than point 6 above, you're owed a refund.
What If You Changed Jobs Mid-Year?
You'll get two Form 16s โ one from each employer.
The critical step: Your new employer may not know your income from the previous employer. If you didn't disclose it, they may have under-deducted TDS. You'll need to combine both Form 16s manually when filing.
Most salaried employees who change jobs end up with a tax shortfall โ because neither employer deducted tax on the full year's income. File carefully (or use the Form 16 Analyser โ it handles multiple employer scenarios).
Form 16 vs Form 16A vs Form 16B
People often confuse these:

If your FD interest was TDS-deducted, you'll get a Form 16A from your bank. That's different from your employment Form 16.
How to Use Form 16 for ITR Filing
- Cross-check with 26AS โ Open Form 26AS (incometax.gov.in โ e-File โ View Form 26AS). Every TDS amount in Part A of your Form 16 must appear in 26AS. If it doesn't, ask your employer to rectify.
- Check AIS โ The Annual Information Statement (AIS) shows all income the government knows about โ salary, interest, dividends, property sale. Compare with your Form 16.
- Pre-fill is your friend โ When you file on the portal or ClearTax, most data from Form 16 pre-fills automatically. Verify instead of retyping.
- Deductions from Part B โ Enter your Chapter VI-A deductions in the ITR form exactly as they appear in Form 16 Part B.
- Refund = Tax Deducted โ Tax Payable โ If your Form 16 shows โน1,20,000 deducted but your actual tax is โน90,000, you're owed โน30,000.
